Weeksville Heritage Center (WHC) is a historic site and cultural institution in Central Brooklyn that uses education, the arts, and a social justice lens to preserve, document, and inspire engagement with Weeksville’s history. Founded in 1838, Historic Weeksville was the second-largest of approximately 100 independent African-American communities established before the Civil War.
Today, Weeksville preserves the landmarked Historic Hunterfly Road Houses while activating its campus as a living site of Black history, culture, and community through education, contemporary arts, and public programming. The organization serves tens of thousands of visitors annually through school tours, exhibitions, performances, festivals, and free and low-cost public programs. Delivering this work requires dependable infrastructure that supports staff capacity, safeguards institutional data, and ensures high-quality experiences for the public.
The Opportunity
The Director of Administration and Finance serves as a key member of the senior leadership team. The role oversees organizational operations, budgeting, financial reporting, accounting, compliance, and information systems. The Director ensures that the institution maintains strong financial health, operational excellence, and administrative systems. The ideal candidate is a strategic and collaborative thinker with substantive management and financial stewardship experience alongside a commitment to advancing the mission and values of the institution.
Primary Responsibilities
Operations and Administrative Management
- Direct administrative systems, policies, and procedures that support efficient organizational operations.
- Oversee contracts, procurement, vendor relationships, purchases, and service agreements.
- Ensure effective management of office operations.
- Develop and implement operational policies and internal controls.
- Manage organizational insurance coverage, risk management, and business continuity planning.
Strategic Planning and Organizational Leadership
- Work closely with the President and CEO to implement the institution’s five year strategic plan.
- Develop long-range operational plans.
- Assist the President & CEO in evaluating new initiatives, partnerships, and business opportunities
Financial Leadership and Management
- Direct all financial operations, including accounting, budgeting, forecasting, cash management, payroll, accounts payable, accounts receivable, and financial reporting.
- Provide financial analysis and recommendations to support institutional growth and sustainability.
- Develop and monitor annual operating, capital, and project budgets in collaboration with department leaders.
- Prepare monthly, quarterly, and annual financial statements and reports for executive leadership and the Board of Trustees.
- Ensure compliance with Generally Accepted Accounting Principles (GAAP), nonprofit accounting standards, and grant requirements.
- Monitor cash flow, reserves, and financial performance to ensure long-term organizational sustainability.
- Lead annual audit processes and serve as primary liaison with external auditors.
- Oversee tax filings, regulatory reporting, and financial compliance requirements.
Marketing and Communications
- Supports the marketing team to ensure marketing and communications initiatives are implemented consistently across the organization.
- Aligns marketing efforts across departments to support continued growth in programs, educational activities and initiatives, public engagement, and facility rental revenue.
- Supports efforts to expand organizational visibility and public awareness of Weeksville Heritage Center locally, statewide, and nationally.
Board of Trustees and Committee Support
- Partner with the President & CEO to support the Finance Committee, Audit Committee, and Board of Trustees.
- Prepare financial reports, dashboards, and presentations for board meetings.
- Present financial information and recommendations to board committees and leadership groups.
- Assist with governance-related reporting and compliance requirements.
Required Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, Public Administration, or related field.
- Minimum of seven years of progressively responsible leadership experience in finance and administration.
- Experience working with organizational budgets of $5 million or greater.
- Strong knowledge of nonprofit financial management, budgeting, accounting principles, and internal controls.
- Experience supervising staff and managing cross-functional operations.
- Excellent analytical, organizational, and problem-solving skills.
- Strong written and verbal communication abilities.
- Demonstrated proficiency with financial management software and Customer Relations Management (CRM) programs.
Preferred Qualifications
- Certified Public Accountant (CPA), MBA, MPA, or related advanced degree.
- Experience working in nonprofit organizations, museums, cultural institutions, historic sites, educational organizations, or foundations.
- Familiarity with grant-funded organizations and government reporting requirements.
- Experience working closely with senior staff, Board of Trustees, and related committees.
Salary Range and Benefits
Salary is $100,000-$120,000 per year, based on experience.
